Scope
This policy applies to the public website, contact form, quote tools, open-house visitor sign-in, Microsoft Teams live chat, provider sign-in, and protected client-intake and document services. It also applies if you choose to subscribe to legal updates where that option is offered. Legal services are provided through A R Gangani Professional Corporation. Real estate sales representation is provided separately through The Guardian Home Realty Inc., Brokerage.
Information we collect
Depending on the service you use, we may collect:
- your name, email address, phone number and contact preference; an email address is verified when you use provider sign-in;
- for an open-house check-in, whether you have a real estate agent, your attendance details and your consent to the stated follow-up purpose;
- live-chat messages and the contact details you choose to provide to the support team;
- the legal service, transaction type, property details, deadlines, and notes you provide;
- names of other parties for preliminary conflict screening;
- documents or images you intentionally submit when document upload is available;
- your required accuracy, no-retainer, and privacy consents, including the notice version and submission time; and
- if you request legal updates, your email address, subscription status, consent wording and timestamps, and email delivery or complaint events;
- visits and interactions on public marketing pages measured through Google Analytics, such as referring page and general browser, device, and location information; and
- limited security and request data such as an IP address, browser information, and request time.
Google, Apple, Microsoft, or Yahoo handles your sign-in. The service receives the provider's account identifier and the name or email address the provider makes available.
How information is used
Information is used to respond to inquiries through reception and the appropriate authorized team, record and follow up on open-house attendance, authenticate you, resume and secure your intake, assess your request, perform preliminary conflict screening, communicate with you, route materials to authorized firm personnel, maintain the record, and investigate security or service issues. Submission does not guarantee representation or create a retainer.
Newsletter information is used to confirm and document your request, deliver occasional legal and firm updates, honour unsubscribe choices, suppress invalid addresses, and protect the reputation and security of the sending service. Newsletter subscription is optional and is not a condition of receiving legal services.
Public contact and urgent-help links direct inquiries to reception@gangani.law. The urgent-help popup provides phone and email options and does not itself send a message. A response time or availability is not guaranteed.
Legal-service information is handled by A R Gangani Professional Corporation. Real-estate inquiries are handled separately by AL GANGANI through The Guardian Home Realty Inc., Brokerage.
Storage, access, and service providers
Protected intake records and accepted documents are saved in a private Microsoft 365 SharePoint library controlled by the firm. Clients are not given access to that library. Access is limited to authorized firm owners, members, and staff with a business need. Uploaded documents are quarantined pending security review and must not be treated as accepted into a matter until the firm confirms them.
Amazon Web Services hosts the public website, provider-sign-in session, and secure routing service. Microsoft 365 stores the protected intake package. The website does not maintain a separate AWS database containing client intake answers or documents. Providers may process information in accordance with their own contractual and legal obligations.
Amazon Simple Email Service delivers the legal-updates newsletter and maintains its subscription preferences. Separate encrypted AWS records preserve campaign and consent evidence. Newsletter records are not joined to portal matters or used to import client addresses automatically.
Microsoft provides the public live-chat widget and routes conversations to authorized support staff in Microsoft Teams. During business hours, an available team member may respond in real time. When staff are unavailable, the widget may collect an email address or phone number for follow-up. Do not use live chat for confidential documents, urgent instructions, or closing deadlines.
Google Analytics is used on public marketing and privacy pages to understand website use. It is not loaded on the protected quote, sign-in callback, client-intake, or document-upload pages. Google may process public-page usage and device information under its own privacy terms.
Cookies and third-party tools
Google Analytics measures visits and limited interactions on public pages, such as phone, email and quote-start clicks. These events do not intentionally include the message, email address or phone number entered in a form. Google may use cookies and process device, usage and approximate location data. You can manage cookies through your browser settings; blocking essential cookies may prevent secure sign-in from working.
Google reCAPTCHA helps protect inquiry and open-house forms against bots and abuse. It can process technical and interaction data, including IP address and browser information, under Google’s privacy policy and terms. Where address lookup is available, typed address queries are sent to the address-search provider to return suggestions.
Public quote estimates can be reviewed before you submit an inquiry or start protected intake. Do not enter confidential details in a public message, chat or quote follow-up. Provider sign-in, protected intake, file uploads and any later engagement have their own access and confirmation steps.
Disclosure and processing locations
Information may be shared with authorized firm or brokerage personnel and service providers needed to deliver the requested service, protect systems, or meet legal and professional obligations. Legal and real estate inquiries remain separate service relationships. We do not use website submissions as permission to add you to marketing lists.
AWS, Microsoft, Google and sign-in providers may process information in Canada, the United States or other countries, depending on the service and account configuration. Information processed abroad may be subject to the laws and lawful access requirements of those jurisdictions. External review, map and Law Society links take you to services with their own privacy terms.
Ten-year retention and secure destruction
The firm retains protected intake records and submitted client files for at least ten years from the date the firm receives them. Records may be kept longer when required by a legal hold, applicable law, professional obligations, an active matter, a complaint, an investigation, or another documented business or legal requirement.
After the applicable retention period and any hold have ended, the firm reviews the record for secure destruction under its approved records process. Destruction is not triggered solely by a client request when the firm is required or permitted to retain the record.
Newsletter unsubscribe choices and consent evidence may be retained after an unsubscribe so the firm can prove the request, continue suppressing the address, and comply with applicable law. The firm does not use an unsubscribed address for future newsletter delivery unless the individual completes a new subscription request.
Security
The service uses HTTPS, federated sign-in, short-lived secure cookies, anti-forgery controls, restricted SharePoint application access, opaque intake and file names, integrity-protected intake manifests, file-type and size validation, quarantine, audit logging, and Microsoft 365 access controls. No internet transmission or storage system can be guaranteed to be risk-free.
Access, correction, and questions
To ask about our privacy practices, request access to or correction of your information, discuss a privacy concern, or withdraw an optional consent, contact reception@gangani.law or call 416-299-0050. Reception will direct the request to the responsible legal or real estate team. We may need to verify your identity. Requests are subject to applicable legal, professional, privilege, security and recordkeeping obligations; withdrawing optional consent does not remove records we must retain.
